How to Check If Your Document Is Eligible for Apostille

Before you spend time and money on an apostille, do a quick two-minute check: is your document actually eligible? Apostilling the wrong thing — or a document bound for the wrong kind of country — wastes effort. Here is how to confirm eligibility upfront.

  1. Is it a public document?

Apostille applies to public documents—those issued or certified by a recognized authority, such as degrees, birth and marriage certificates, PCCs, and company documents. Purely private documents usually need to be notarized first to become eligible.

  1. Is it from a recognized issuing authority?

The document must come from an authority whose signature and seal can be verified — a recognized university or board, a government department, a registrar, or a Chamber of Commerce. Documents from unrecognized sources cannot be verified and so cannot be apostilled.

  1. Can it be verified at the state level?

Because apostille sits on top of state verification (HRD, Home Department/SDM, or Chamber of Commerce), your document must be one that these authorities can authenticate. If it cannot pass that step, it cannot be apostilled.

  1. Is your destination a Hague member?

This is the decisive check. An apostille is only valid for Hague Convention members. If your destination is the UAE, Qatar, or Kuwait, an apostille is not the right process at all — you need embassy attestation. Confirm your destination’s status first.

  1. Is it an original or certifiable document?

You need an original or a properly certified copy. A plain photocopy is not eligible.
